Create vehicles or machines in a coordination

In MySmart OSH, vehicles and machines represent all the material resources involved in a coordination. Your on-site activity does not always require registering them, but when you do need to, the process is straightforward and the resource is linked both to the coordination and the external company.

Type of vehicle or machine

When creating the vehicle or machine, the type you select will determine which specific documentation must be requested (for example, MOT, operator certificate, user manual, etc.). Choose the correct type according to the nature of the resource.

How to register a vehicle or machine

1. Access the coordination editor.
2. Go to step 4 · Vehicles / Machines.
3. Click New vehicle / machine.
4. Enter the registration number or serial number of the resource.
5. Complete the remaining details (see the next section on automatic detection).
6. Click Create and associate to finish.

Once completed, the vehicle or machine is created and associated with the coordination and the external company.

Automatic detection of existing records

The system automatically checks if that vehicle or machine already exists in MySmart OSH when entering the registration or serial number:

• ✅ If it already exists: the fields are automatically filled with the stored data.
• ✏️ If it does not exist: you must manually enter the necessary data to register it as new.

Tip

Automatic detection prevents duplicates and speeds up registration when the same vehicle or machine has already been used in other coordinations.
