How does the scope work in participation management responsibilities?

When creating a responsibility, you can restrict the scopes in which the person will participate:

  • If you specify Company only, the person will receive any participation from that company, regardless of the lower levels.
  • If you specify Company + Site, they will only receive participations from that company and that site.
  • And so on with the lower levels of the organisational structure.

Is the responsible person filled in automatically?

The Responsible field on the detail screen is not filled in automatically, because there may be more than one responsible person for the same scope and you must explicitly choose who is in charge.

However, the Responsible tab is filled in automatically with the participation management responsibles, and all of them receive the automatic email.

When is the new participation email sent to the responsibles?

The email is sent at the moment the participation is created.

Yes. There are three ways:

  • Through the anonymous page, without providing the notifier’s details.
  • Through the App, by selecting Send participation anonymously.
  • Through the App Viewer, by selecting Send participation anonymously.

Can I attach an image when registering a participation?

Yes, it is possible to attach an image when registering a participation from the App or the App Viewer.

When sending the response to the notifier, what date appears in the email?

The date shown is the date the participation was sent, not the date the response was sent.

What happens if an attendee does not have an email?

Both in the invitation email and the minutes email, if there are attendees without an email, the programme notifies you at the time of executing the operation and indicates which attendees do not have one. Those emails are not sent.

What happens if I enter 24 in “Reminder advance (in hours)”?

If the meeting is at 09:00, the programme will send a reminder email:

  • 24 hours before the meeting (09:00 the previous day).
  • 12 hours before (21:00).

Also, note that if the meeting is on a Monday, the reminder will be sent on Sunday.

What happens if I send the minutes email without marking the invitees who did not attend?

If you have not indicated who did not attend, the programme will send the minutes email to all attendees of the meeting/talk.
