Standard dashboards

The Dashboards module allows you to exploit and process information from different Smart OSH modules to present it in the form of key performance indicators (KPI).

The standard dashboards are those available by default in any Smart OSH installation, as opposed to the customised ones developed exclusively for a client.

Note

The order in which the dashboards appear depends on the Order field in the Dashboard definition section.

Purpose

The module allows you to view, export and process key data for your organisation in various areas:

For your organisation

• Internal audits and general monitoring.
• Monitoring of personnel and workstation map.
• Task completion, accident dashboard and accident rates.
• Monitoring of training actions, employee participation and CAE coordinations.
• Data on CAE validations.

For dealings with third parties

• External audits.
• Key data on personnel, accident rates, training, participation and CAE coordinations.

Access and roles

Access to the module is done from Smart OSH with your username and password.

Caution

• To view the Dashboards module the user needs the relevant permissions (a dashboard role).
• The visibility of the content of each dashboard also depends on the specific roles of the module it refers to. Without those roles, the dashboard appears but its content is not visible.

To access the module, the user must be assigned one of the following roles depending on the actions they need to perform:

• Dashboards - View: read-only.
• Dashboards - Edit: read and modify.

Note

The Dashboards - Edit role is aimed at customised dashboards and is not useful for the standard ones.

Module menu

Section	Description
Dashboards	View and export data from the consulted dashboards.
Distributions	View and create new distributions to send dashboards to recipients.
Dashboard definition	Defines whether a dashboard obtains data in real time (Online) or deferred via snapshots.

Note

The module also includes the Objectives and Settings sections, but they are not useful for standard dashboards: they are aimed at customised ones. You can ignore them if your organisation only works with the standard ones.

Dashboards

When accessing Dashboards > Dashboards the available dashboards open with the most relevant data from the associated modules.

Each dashboard allows you to:

• Consult and interact with its content by applying the filters that appear on the screen.
• Export the dashboard to PDF, PNG or Excel XLSX.

Caution

• The visibility of the content of each dashboard depends on the specific roles of the module it refers to.
• If the dashboard name includes a date in parentheses, it means the dashboard is cacheable and the date indicates when it was generated.

Distributions

From Dashboards > Distributions you can manage the automatic sending of dashboards to the appropriate recipients.

List screen

The top options are the usual: New, Delete, Save, Cancel, Refresh and also Distribute Dashboard.

Caution

Distribute Dashboard is the operation that activates the distribution circuit. Without performing this operation, no dashboard sending is initiated, even if you have created and configured the distribution.

You have the three usual module filters: generic filter (next to the title), funnel filter (next to each column) and bottom filter (below the title of each column).

Detail screen

When entering a distribution you access all its main data. The top options are the same as in the list, including Distribute Dashboard, as well as Save and close to return to the previous screen.

Bulk loading of distributions

Note

It is possible to perform bulk loads via KB020 of distributions.

Dashboard definition

The Dashboard definition section lists all available dashboards and how they are published. This is where the performance and availability of each dashboard is controlled.

Activation and deactivation

The available dashboards are those that appear in this section with the «Active» checkbox checked. To make a dashboard unavailable to all users, uncheck the «Active» box and save.

Online vs Snapshot

By default, dashboards are generated in «Online» mode: the information is queried directly against the database in real time.

• The Status field shows Online.
• In the dashboard detail screen the Enable snapshot checkbox is not checked.

Tip

If a module has a large number of records, Online mode can affect the dashboard’s performance. To optimise and reduce times, you can change the generation type from Online to Snapshot.

In Snapshot mode, the dashboard information is replicated in a nightly process and the data queried is deferred.

Note

• To activate snapshot mode, go to the dashboard definition and click Operations > Generate snapshots.
• You can switch from Online to Snapshot and vice versa at any time. If for performance improvement you have a dashboard in Snapshot mode but need real-time data, you can temporarily switch it to Online.

Additional tabs

Tab	Description
Scopes	Restricts the dashboard view to a specific scope: Company, Centre, Section, Position, Team / installation, Activity or Role.
Log	Record of distributions made for that dashboard.
Versions	History of distributed versions of the dashboard, with access to their content.
