Glossary
This page collects the key terms and statuses that appear in the Management Systems module. It is especially useful for understanding the measure circuits and the roles of those responsible.
General concepts
Section titled “General concepts”- Management systems: set of interrelated elements of an organisation that interact to establish and achieve policies, objectives, and processes oriented towards OSH.
- Non-conformity: failure to meet a requirement. A requirement can be a need or expectation established, generally implicit or mandatory.
- Opportunity: circumstance or set of circumstances that may lead to an improvement in a specific aspect of the organisation.
- Objective: result to be achieved. It can be strategic, tactical, or operational.
Deviations and associated measures
Section titled “Deviations and associated measures”- Deviation: anomaly detected in the achievement of a measure related to an objective. It is displayed in:
- Management Systems → Objectives → record → “Deviation” column of the Measures tab.
- Management Systems → Measures → measure record with origin “Objective” → “Deviations” tab.
- Origin measure: corrective action of a measure linked to an objective on which the deviation has been detected. It is displayed in Management Systems → Measures → record with origin “Objective” → “Deviation measures” tab → “Origin measure” column.
- Deviation measure: corrective or correction action of the deviation of a measure related to an objective. It is found in Management Systems → Measures → record with origin “Objective” → “Deviation measure” tab.
Measure statuses
Section titled “Measure statuses”Measures follow three independent statuses depending on the circuit they have activated.
Approval status
Section titled “Approval status”Only applies if the measure has the approval circuit activated. In that case, it is the initial status of the measure.
Circuit phases:
- Draft: work on the measure has not yet started.
- Pending approval: the measure is awaiting approval or rejection by the approval responsible.
- Approved: status that leads to the implementation of the measure.
- Rejected: status that cancels the measure.
Implementation status
Section titled “Implementation status”This is the default status of any measure. If the measure has the approval circuit activated, the Implementation status does not come into play until the approval circuit is completed.
Circuit phases:
- Not started: implementation work has not yet begun.
- In progress: implementation is underway.
- Pending verification: implementation is pending closure.
- Closed: leads to the verification of effectiveness. When this status is marked, the Effectiveness verification status automatically changes to Pending effectiveness verification.
- Cancelled: cancels the implementation of the measure.
Effectiveness verification status
Section titled “Effectiveness verification status”Only applies if the measure has the effectiveness verification circuit activated. It is the status following implementation.
Circuit phases:
- Not started: verification work has not begun.
- Pending effectiveness verification: verification has not yet been carried out, but work on it is underway.
- Verified: effective: approves the execution of the work carried out on the measure.
- Verified: ineffective: rejects the execution of the work.
- Verified: ineffective (with new measure): a new measure is created to correct the errors that led to the ineffectiveness of the original.
Responsible persons in the measure circuit
Section titled “Responsible persons in the measure circuit”- Approval responsible: person in charge of accepting the measure. Appears when the Activate measure approval circuit checkbox is marked, along with the Approval status field and the Approval tab. Once the measure is approved, the implementation responsible begins their work.
- Implementation responsible: person in charge of carrying out the resolution of the measure. Identified in the Implementation responsible tab. When the measure has been implemented, the effectiveness verification responsible comes into play (if the circuit is configured).
- Effectiveness verification responsible: person in charge of checking the application and impact of the measure. Appears when the Activate measure effectiveness verification circuit checkbox is marked, along with the Measure verification status field and the Effectiveness verification tab.
