This glossary includes the most relevant fields and tabs of the four main screens of the EPIS module. Use it as a quick reference when a screen shows a field whose meaning you want to confirm.
An EPI type represents the set of EPIs of the same family. For example, the EPI type “safety footwear” may contain specific EPIs such as Goodyear protective boot, S1P G138/3052C Goodyear safety shoe or S1P Ar-140/161 Dunlop waterproof safety boot.

| Category | Allows categorising the EPI type. |
| Type of protection | Indicates which part of the body is protected or which risk is avoided. |
| Employees | Calculates “deferred” the number of workers to whom the EPI type applies. |
| EPIS (tab) | Allows creating the EPIs of the EPI type. |
| EPI Stocks (tab) | Consults EPI stocks by size and, if defined, the minimum stock. |
| Applicable standards (tab) | Links the regulations governing the EPI type. |
| Courses (tab) | Links training courses to the EPI type. |
| Responsibilities (tab) | Defines review, maintenance and renewal periodicity, and those responsible for delivery, review and maintenance. |
| Relations (tab) | Links the EPI type to scopes or entities so that EPI needs are created. |
| Attachments (tab) | Added or generated documents, with their sending and signature status. |
An EPI is a specific piece of equipment within an EPI type (e.g.: “S1P G138/3052C Goodyear safety shoe”).

| Documentation (tab) | Indicates if the EPI has CE certificate, declaration of conformity, technical sheet and/or instruction manual. |
| Responsibilities (tab) | Defines the person responsible for purchase of the EPI. |
| Relations (tab) | Links the EPI to scopes or entities so that it only appears in the “EPI-Size” field of the needs of those scopes or entities (regardless of those linked to the EPI type). |
| Attachments (tab) | Added or generated documents, with their sending and signature status. |
An EPI need is the relationship between an EPI type and an employee.

| EPI Type | Non-editable field; family to which it belongs. |
| Type of protection | Non-editable field; body part or risk covered. |
| Status | Changes automatically and indicates the phase of the need. |
| Cancel need | Checkbox marking the need as “not applicable”. Recommended as an exception: the general rule is that if there is a relationship between EPI type and scope/entity, the need must apply to all employees. |
| Creation date | Automatically filled with the registration date. |
| Renewal date | Date on which a new EPI must be delivered. Upon arrival, if no new delivery is made, the application closes the need and creates a new one with status “Not started”. |
| Closure date | Automatically filled when changing to “Closed” status. Manually editable. |
| Employee expected to make the delivery | Automatically filled if a delivery responsible has been defined for the EPI type. Editable. |
| SmartStatus | Alerts generated automatically by the application. |

| EPI-Size | EPI and size delivered. Automatically filled on second deliveries. |
| Brand / Model | Non-editable fields, automatically filled when EPI-Size is informed. |
| Size stock | Non-editable field; filled when EPI-Size is informed and recalculated when changing to “Delivered” status. |
| Movement | Corresponding stock movement number; automatically filled upon delivery. |
| Delivery date | Allows recording the delivery date (also auto-filled when changing to “Delivered” status). |
| EPI expiry date | Expiry date of the EPI if applicable. |
| Serial number | Identifies the specific unit within a production; appears on the receipt. |

| Requests | Information on requests made (via “Register EPI request” operation, App, web or URL). |
| Origins | Retrieves the scopes or entities that generated the need. |

| Movements (tab) | Allows registering stock movements (purchases, receptions, etc.). |
| SmartStatus | Alerts generated automatically by the application. |
