Glossary

This page collects the key terms and fields that appear in the Change Management module.

  • Impacts: tab that allows linking where the change applies or to what.
  • Authorisations: tab where the types of authorisations that the involved employees will have (authorise, modify by annotations or reject) in each phase are indicated: planning, execution and commissioning.
  • Checks: tab that identifies the verifications that must be carried out after executing the change.
  • Consultations: tab to note the list of departments and contact persons to be consulted about the change.
  • Costs: tab that allows indicating all the economic data of the change. Each cost is registered separately.
  • Documentation: tab that indicates the information employees must attach to ensure the change is carried out correctly.
  • Total cost: field in the Costs tab that shows the sum of all registered costs.
  • Site: field that allows indicating the area, zone, process or any other specific element to which the change applies. It is not mandatory, but recommended, as it appears in the report.
  • Distribution list: field that indicates which employees will receive an email if the change is rejected.
  • Responsible: mandatory field that identifies the employee who creates and can modify the change. If the user registering the change has an associated employee, it is filled in automatically.
  • Location: field that allows indicating the specific place to which the change applies. It is not mandatory, but recommended, as it appears in the report.
  • Annotations: observations provided by those responsible for authorising the planning, which the change manager may (or may not) take into account.
  • Deferred sending: all automatic notification emails to those responsible are not sent immediately, but the following day.
  • Draft: default status when registering a change. It remains while the responsible person who creates it is still gathering information. The programme also returns the change to this status when annotations are added in other statuses.
  • Created: the responsible person indicates this status when they have all the information and authorisation for planning can be requested.
  • Planning: the programme activates this after all those responsible for authorising the planning have signed.
  • Execution: the programme activates this after all those responsible for authorising the execution have signed.
  • Commissioning: the programme activates this after all those responsible for authorising the commissioning have signed.
  • Rejected: the programme activates this when any responsible person, at any phase, declines the change.
