- How to deactivate an external company, an external employee, a coordination, or a subcontracting, and the implications of each action.
Glossary
Section titled “Glossary”- External company: company with a legal entity independent from the main company. It has its own organisation and its own employees (the external employees).
- External employee: personnel hired directly by the external company as part of its workforce.
- Subcontractor: company with a legal entity independent from both the main and the external company. It has its own organisation and its own external employees.
- Coordination: economic activity between the main company and the external company (which acts as the first level in the subcontracting hierarchy) in which document exchange takes place.
- Subcontracting: economic activity between the main or external company and another external company (which acts as the second level or higher in the subcontracting hierarchy) in which document exchange takes place.
- Deferred deletion: the record is marked as inactive but does not disappear permanently from the programme until the following day.
Differences between deleting and deactivating
Section titled “Differences between deleting and deactivating”Deleting and deactivating are two very different actions and it is important to be clear about this before acting on a record.
| Action | When to use it | What happens |
|---|---|---|
| Delete | When a record has been created by mistake and should never have existed. | The record and all its dependents are permanently deleted. They cannot be consulted again. |
| Deactivate | When a record has been valid for a period of time and is no longer applicable. | The record remains consultable in the Inactive view and can be reactivated. Its documents, attachments, and associated records are frozen: if reactivated, what remains valid continues to be valid and expired items are automatically archived. |
