External companies - delete and deactivate
This page describes how to delete or deactivate an external company, the consequences of each action, and how to recover a record if you have made a mistake.
How to delete an external company
Section titled “How to delete an external company”- Go to CAE → External companies.
- Select the record you want to delete and click on the Delete icon.
- The programme displays a message with the implications of the action.
- Click Yes to confirm.
Consequences of deleting an external company
Section titled “Consequences of deleting an external company”| Area | Action |
|---|---|
| External company | Automatically becomes inactive and is marked as Deferred deletion. It is permanently deleted the next day. |
| Employees | Automatically become Inactive. The next day they still exist in the programme but without any assignment. |
| Coordinations | Automatically become inactive. They are permanently deleted the next day. |
| Subcontracting | They cease to have any relation with the external company and its coordinations. The subcontracted external company remains registered but without any relation. |
| Document requirements | Become inactive a few minutes after deletion. They are permanently deleted the next day. |
How to recover a deleted external company
Section titled “How to recover a deleted external company”It is only possible to recover a deleted external company if the action was performed on the same day. That is, while the record has the Deferred deletion checkbox marked in the list screen.
- Go to CAE → External companies.
- In the Inactive status filter, select View active.
- Access the record in question (you will identify it because it has the Deferred deletion checkbox marked).
- Uncheck the Inactive box and click Save.
How to deactivate an external company
Section titled “How to deactivate an external company”- Go to CAE → External companies → enter the company you want to deactivate.
- Check the Inactive box and click Save.
- The programme immediately displays a notification confirming that the changes have been made successfully.
Consequences of deactivating an external company
Section titled “Consequences of deactivating an external company”| Area | Action |

| External company | Automatically becomes inactive. |
| Employees | Employee assignments to this company are directly deactivated. The programme sets the End date of the assignment to one day before the deactivation date. |
| Coordinations | Coordinations of this company are automatically deactivated. |
| Subcontracting | Subcontracting of this company is automatically deactivated. |
| Document requirements | Documents for coordinations and subcontracting are not deactivated immediately. They are recalculated during the nightly process. |
Status of external employees upon deactivation
Section titled “Status of external employees upon deactivation”The programme automatically adds an end date to the employee’s assignment to the external company, set to one day before the deactivation date.
Example: if the deactivation occurs on 02/10/2020, the assignment end date is set to 01/10/2020.
Status of coordinations and subcontracting upon deactivation
Section titled “Status of coordinations and subcontracting upon deactivation”The programme automatically deactivates the coordinations and subcontracting associated with the company.
How to recover a deactivated external company
Section titled “How to recover a deactivated external company”- Go to CAE → External companies.
- Change the filter from View active to Inactive status and enter the company you want to reactivate.
- Uncheck the Inactive box and click Save.
- The programme immediately displays a notification confirming that the changes have been made successfully.
