How to register an ergonomic study

To register an ergonomic study in SmartOSH, you have two options depending on how the study is conducted:

• Freely: the study is registered directly in SmartOSH.
• Synchronized with Ergo/IBV: the study is carried out in Ergo/IBV and transferred to SmartOSH.

Freely conducted ergonomic studies

Steps

1. Go to Ergonomic Studies > Ergonomic studies and click New.
2. Complete the ergonomic study record.
3. Click Save.

Note

At a minimum, you must complete Name and Scope to be able to save the record.

Tip

You can also access the registration from Ergonomic Studies > Ergonomic studies > [an existing study] > New.

Ergonomic studies synchronized with Ergo/IBV

Steps

1. Access Ergo/IBV directly and register the study there.
2. Perform the data synchronization from Ergo/IBV (either for a new record or for the modification of any other).
3. View the synchronized information from SmartOSH.

Everything related to Ergo/IBV (access data, training, management, and data synchronization) is provided directly by Ergo/IBV, not by SmartOSH.

Fields on the detail screen

Field	Description
Name	Free text identifying the name of the ergonomic study.
Evaluated by	Search allowing selection of the person conducting the study.
Date	Date on which the study was conducted.
Active	Checkbox indicating whether the study is active or not.
Task performed	Free text describing the task performed in the study.
Ergonomics method	Dropdown allowing selection of the method to be followed.
Synchronized ErgoIBV	Checkbox automatically filled when a record is transferred from Ergo/IBV. Not manually editable.
Observations	Free text with any notes regarding the study.

Tabs on the detail screen

Tab	Description
Scope	Allows indicating the scope of the study conducted, adding tags, and indicating company and evaluator data coming from Ergo/IBV.
Subtasks	Allows registering new subtasks.
Results	Allows registering the study results.
Recommendations	Allows including text and images with the study recommendations.
Risk factors	Allows registering or linking risk factors.
Non-conformities	Allows registering or linking Non-Conformities / Opportunities.
Tasks	Allows registering or linking tasks.
Attachments	Allows viewing reports synchronized with Ergo/IBV and uploading your own attachments.

«Scope» tab in detail

Tip

• The scope is exclusive: it can be completed by Company, Centre, Section and/or Position, or by Activity, or by Equipment / Installation (not multiple blocks at once).
• Tags allow adding a specific filter to the study without needing a dedicated field.
• The fields ErgoIBV Evaluator Data and ErgoIBV Study Company are only completed when the study is synchronized with Ergo/IBV.

Behaviour of synchronization with Ergo/IBV

When synchronizing a study from Ergo/IBV, some fields are transferred and others are not. It is important to know the difference to understand what can be modified in SmartOSH and what cannot.

Fields transferred from Ergo/IBV

These fields are synchronised automatically and CANNOT be modified from SmartOSH:

• Detail screen: Name, Date, Task performed, Ergonomics method, Synchronized ErgoIBV.
• Scope tab: ErgoIBV Evaluator Data, ErgoIBV Study Company.
• Entire tabs: Subtasks, Results and Attachments (regarding documentation loaded from Ergo/IBV).

Fields NOT transferred from Ergo/IBV

These fields are not synchronised and CAN be modified from SmartOSH:

• Detail screen: Evaluated by, Observations.
• Scope tab: Company, Centre, Section, Position, Activity, Equipment / Installation, Tags.
• Entire tabs: Recommendations, Risk factors, Non-conformities, Tasks, Attachments.

Caution

Although the Attachments tab appears in both lists, this is not contradictory: attachments synchronized from Ergo/IBV cannot be modified, but you can add your own attachments that do not come from Ergo/IBV.
